Privacy Policy

This privacy policy applies if you become a member of the Friends of Wenny Road Meadow.

Who we are

The “Friends of Wenny Road Meadow” is an unincorporated association backed by a constitution. Member details are collected and maintained by the membership secretary.

You can contact the membership secretary by using the Contact Us form or by writing to: Membership Secretary, Friends of Wenny Road Meadow, 48 New Road, Chatteris, PE16 6BT.

Data we collect

We currently collect the following data about our members:

  • Name
  • Contact details (email, telephone, address)
  • Contact preferences
  • Information about how you would like to help the campaign

How we get the information and why we have it

We get this information if you have supplied it to us, usually via the membership form linked to on the Join Us page.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time by writing to the membership secretary.
(b) We have a legitimate interest, such as informing members of General Meetings in accordance with our constitution.

How we will store and use your information

We will store your information electronically in a “cloud service” (namely Google Drive). The account storing your data is protected by a very strong password and two-factor authentication. This password is not shared with anybody other than the membership secretary. The account where this data is stored is not used for any other purpose than managing and contacting the membership, and is only accessed from devices that are themselves password-protected.

We will also store your email address in our newsletter management software, Mailchimp. This is protected by similar security measures to the Google Drive referenced above, including a strong password and two-factor authentication. Access to your information in this system is also limited to the Membership Secretary. You can unsubscribe from the Mailchimp emails at any time, or you can write to the Membership Secretary to update your preferences. You can find Mailchimp’s own Privacy Policy here.

Your information will not be given to any third party organisation for their use. Your information will only be handled by the membership secretary, unless it is necessary for another officer to know it for the purposes of carrying out their duties. This use will be proportionate and carried out in a controlled manner.

Your data will be held for as long as you are a member, or until you withdraw your consent in accordance with your rights (below).

If you filled in a paper membership form, we will destroy this as soon as we have logged these details on our electronic system.

Your rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

If you wish to exercise any of your rights, please make a request to the membership secretary in writing via the above methods.

Conditions of membership

To become a member of “Friends of Wenny Road Meadow”, you must agree with the aims and organisations of the association.

These are:

  • To promote the preservation and enhancement of the parcel of land known as “Wenny Meadow”, “Wenny Road Meadow”, or the former “Manor Park” of Chatteris (hereafter called “the site”).
  • To preserve and enhance the biodiversity value of the site.
  • To promote and enhance walking and other non-destructive recreational activities at the site.
  • To improve access to, and appreciation of, nature and green space within the town of Chatteris.
  • To support and promote the long-term sustainability of the site for the people of Chatteris.

Equality policy

Friends of Wenny Road Meadow will not discriminate on the grounds of sex, race (including colour, ethnic or national origin), sexual orientation, disability, gender reassignment, religious or political belief, pregnancy or maternity, marital status or age.

Breaches of the equality policy or offensive behaviour

Any offensive behaviour, including racist, sexist or inflammatory remarks, will not be permitted. Anyone behaving in an offensive way or breaking the equal opportunities policy may be asked not to attend further meetings or to resign from the group if an apology is not given or the behaviour is repeated. The individual concerned shall have the right to be heard by a sub-group nominated by the committee, accompanied by a friend, before a final decision is made.
